Archiving your documents can be accomplished in two ways. First and foremost, any computer generated record can be automatically archived - and in the case of your patient registration process it becomes the beginning of the Electronic Patient Record. Secondly, handwritten records can be scanned and associated to the same electronic record. At point-of-form creation, a bar code is programmed as an index point for the scanning and archiving of the document. We have strongly suggested that even though some of our clients are not currently scanning their documents, that having the bar code on their print on demand forms will decrease the amount of money that will have to be spent when the forms are scanned at a future date. We support a variety of bar code standards including "Code 3 of 9" and the 2-dimensional "PDF417". There is a range of features that can be implemented to accomplish archiving of documents anywhere in the clinical and business process. The technology can be phased in on the registration process in order to demonstrate the effectiveness of archiving.
The process for archiving is completely automated, requiring no intervention from the user. Records that are created are grouped together, used, and added to in an ad hoc manner. Both paper and electronic forms can eventually be destroyed as per the legal or organizational rules.
